Summary of Position: Perform a wide range of administrative and office support activities for the Resource Development Department and provide support to all Western staff and faculty in the post-award process of funded projects. Support and provide backup for other office personnel as needed.
Essential Functions

Perform office function's which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments. 3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department. 4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success. 5. Facilitate compliance, budgets, and communication between department and project lead - Supporting Action/Task May Include:

  • Review and monitor monthly grant budget spending and provide budget projections to ensure grant compliance
  • Create and process supporting Time and Effort verification documentation
  • Reconcile salary distributions with grant budgets and employee time and effort statements
  • Advise Payroll of salary distributions under grants and prepare grant personnel reports for Senior Leadership
  • Regularly meet with Business office personnel to track spending and budget lines
  • Advise on past practice regarding compliance/spending with project leads and refer scope-of-change questions to the appropriate compliance lead.
  • Update, communicate, and track changes to regulations, revisions to funded projects, and other new or revised procedures 6. Maintain data in client reporting and/or other systems - Supporting Action/Task May Include:
  • Maintain client reporting system tracking participant enrollments in grants in accordance with Wisconsin Technical College System administrative procedures including:
  • Enter and maintain data in tracking systems for project leads on participants involved in Federal projects;
  • Coordinate with the Grants Department in assessment of progress, outcomes, and goal attainment 7. Support the development and submission process - Supporting Action/Task May Include:
  • Develop documentation guidelines per submission
  • Prepare initial assessment of support and compliance records and maintain basic tracking of budgets, attachments, and calendar of submissions and awards;
  • Support submission deadline needs, scheduling meetings, and managing checklists;
  • Develop project budgets 8. Assist with identifying new funding opportunities and forward information as appropriate - Supporting Action/Task May Include:
  • Consistently monitor federal and local announcements for new funding opportunities and connect or forward them to the appropriate individual
    Qualifications
    Minimum Qualifications:
  • Associate degree OR
  • Education combined with appropriate occupational experience in related field totaling 2 yrs. OR
  • Occupational experience in related field totaling 2 yrs. Preferred Qualifications:
    • 2 years preferred in related field
